For homeowners: your information, and our terms
Privacy notice
*Effective 20 September 2026. Version 1.4.*
This notice covers the BuilderVoice project service: the conversation with the assistant, the photos you add, the concept images, the project pack, and what happens when a builder is introduced. The BuilderVoice Pro phone-answering service for trade businesses has its own [privacy policy](/legal/privacy).
1. Who we are
[LEGAL ENTITY NAME] (company number [COMPANY NUMBER], registered at [REGISTERED ADDRESS]) is the controller of your information. Privacy questions: [PRIVACY EMAIL].
2. What we collect
- To open an account: your name and mobile number, verified by a one-time code. An email address if you choose to add one.
- About your project: the postcode, the kind of work, and everything you tell the assistant - by voice or by typing. We keep the transcript. We do not store the audio of your voice. Sound is streamed to the speech provider and is gone when the conversation ends.
- Photos: the photos you upload of the room or space. Location data is removed from photo files before they are stored.
- Concept images: pictures generated from your photos and your stated preferences.
- The project pack: the structured summary the assistant builds from all of the above, and the version of it you approved.
- Your decisions: which builders you were shown, who you accepted or declined, any report you raise, and the outcome the builder records.
- Technical: your IP address and browser type, for security and rate limiting.
3. Why, and on what basis
| Purpose | Basis |
|---|---|
| Running the interview, building and showing you the pack, generating concept images | Performing our contract with you |
| Showing an anonymised preview of your project to up to five businesses you select | Your consent, given when you approve the pack; you can withdraw it from the project page |
| Giving a selected business your contact details and the full pack after it accepts a paid introduction | Your consent, given when you approve the pack and choose that business |
| Verifying your mobile number, preventing abuse, keeping records of consent | Legitimate interests (security and accountability) and legal obligation |
| Texting and emailing you about your own project | Performing our contract |
| Improving the assistant using transcripts | Legitimate interests; transcripts are read by our team, not sold, and not used to train third-party models |
We do not send marketing. We do not sell information.
4. The assistant and automated processing
The assistant is an AI system. It asks questions, records what you say as structured facts, asks for photos, and drafts a design brief. When you approve your brief, AI reviews the approved project and conversation for genuine project intent before builder selection opens. If the check finds unclear intent or missing details, we ask you to clarify your project and approve the updated brief for another check. We do not open builder selection until the check passes. Service errors can be retried and do not mean your project is invalid; AI does not permanently reject a project. You can ask our team to review or correct a decision. Recommendations use trade and area coverage, with featured businesses shown first. Registered businesses and unregistered directory listings are labelled separately. Public ratings retain their source and date. You choose up to five businesses to invite, and you decide who to hire.
We also estimate project value from the scope, stated budget and market cost research for invited businesses and introduction pricing. It is an indicative estimate, not a quote or a commitment to carry out work. Market searches use an anonymous description of the work, without your contact details. Our review records follow the transcript retention period.
Photos are analysed by an AI vision model to note fixtures, condition and safety concerns; concept images are generated by an AI image model that edits your photo according to your brief. Both are illustrative and may be wrong. Nothing in a concept image is a commitment by us or by a builder.
5. Who sees what
- After you approve and choose businesses: up to five selected businesses receive a preview with your first name, work, area (e.g. CB4), scope, budget and timing. Their invitation emails may show approved current-room photos and concept images. Invitation emails and texts can include the stated budget, an indicative project value and the introduction credit price. Matched, signed-in builders can also see the approved images and the conversation up to your approval, with contact details hidden. Your surname, street, phone, email, full postcode and private messages stay hidden until an introduction. When you message a business that has not accepted yet, we email a reminder that a message is waiting without including its contents.
- After a selected business accepts a paid introduction: that business receives your contact details, full postcode and the approved pack with photos and concepts. Up to five selected businesses can accept. An invitation is not a booking or a promise that a business will respond. Builders agree to use the details for your project only.
- Our team: reads packs, transcripts and photos to check them, handle safety concerns and complaints, and improve the service.
- Providers who process on our instructions: speech and language models, image analysis and generation, file storage, SMS and email delivery, hosting and payments. The current list, with locations, is at [/legal/sub-processors](/legal/sub-processors). Some are outside the UK; transfers use the UK International Data Transfer Addendum or an adequacy decision.
6. How long we keep it
| Information | Kept for |
|---|---|
| Account (name, mobile, email) | While you have an account, then 12 months |
| Transcripts | Until 12 months after the project closes, then deleted |
| Photos, concept images, project pack | While the project is open and for 12 months after it closes; the approved pack version is kept for 6 years as the record of what was shared |
| Consent records, audit log | 6 years |
| One-time codes and sign-in links | Deleted within 7 days of expiry |
7. Your rights
You can ask for a copy of your information, ask us to correct or delete it, object to processing based on legitimate interests, and withdraw consent at any time (which does not affect what was already shared with a builder you accepted). Email [PRIVACY EMAIL]; we answer within one month. You can complain to the Information Commissioner's Office at ico.org.uk.
8. Changes
We will post changes here and, if they matter, text you. The version number at the top changes when the substance does.

What BuilderVoice is
BuilderVoice helps you describe a home improvement project clearly and choose local businesses to invite. Registered businesses and public directory listings are labelled separately, including which credentials have been checked. It is free for homeowners. Selected businesses pay us when they accept an introduction; you never pay us.
What we are not
We are not a party to any contract between you and a builder. We do not quote, design, survey or carry out work. Concept images are illustrations, not designs or promises. The project pack records what you told the assistant; check it before you approve it.
What we check about builders
For each builder we say what has been verified - insurance, registrations, business details - and when. Verification means a person at BuilderVoice checked a document or a public register on that date. It is not a guarantee of workmanship, solvency or conduct, and things can change after the date shown. Get a written quote, check references and use a written contract, as you would with any builder.
Your side
- Give accurate information. Builders rely on the pack to decide whether to ask to be introduced.
- Choose the businesses you want to invite and respond when an introduced business contacts you.
- Don't use the service to obtain builders' details for any purpose other than your own project.
- You can withdraw sharing at any time from the project page. A builder you already accepted keeps the details you shared.
Problems
If a builder doesn't get in touch, behaves badly, or something on our side goes wrong, use the "report a problem" link on the project page or email hello@builder-voice-ai.com. We answer within one working day and may suspend a builder while we look.
Liability
We provide the service with reasonable care. We are not liable for the work, conduct or solvency of any builder, for losses that were not foreseeable when you started using the service, or for anything we cannot exclude by law (nothing here limits liability for death, personal injury caused by negligence, or fraud). English law applies.
